Associate Administrative Assistant [United States]


 
Overview:
This position contributes to the success of Pepsi Beverages North America by providing administrative
support to the Conroe, Texas location.

Responsibilities:
  • Process accounts payable in a timely manner via internal AP system or Purchasing card ensuring correct
    and consistent general ledger coding, as well as proper document retention in accordance with
    company policy
  • Perform back-up support for counterpart function, which may include Cashier and reconcile Delivery
    and Full-Service Vending routes, utilizing Enterprise Settlement Console, banking applications, and cash
    counting machines
  • Manage, track, and communicate various financial administrative controls
  • Provide planning & execution support for company events such as team meetings and employee
    recognition opportunities
  • Perform tasks associated with location support responsibilities, including but not limited to customer /
    supplier interactions, visitors, mail, running reports, copying, filing, faxing and telephone support
    Conducts a weekly inventory of building supplies (office supplies, breakroom supplies, maintenance
    supplies) and communicates appropriately to ensure appropriate inventory levels are maintained
  • Maintains front reception, conference room, and break area cleanliness and organization
  • Manage shipping & receiving within location to include processing shipping orders within FedEx, UPS,
    and/or USPS systems, packing up shipments, and processing payments for shipping orders
  • Other administrative and customer support responsibilities as assigned
Qualifications:
  • Experience in prioritizing work and multi-tasking with a strong sense of urgency
  • Experience providing administrative and/or facility support
  • Show strong attention to detail and communicate effectively with both internal and external customers
  • Outstanding organization, time management, and communication skills
  • Aptitude to work with minimal supervision – set goals, create and implement action plans, and monitor
    progress toward goals
  • Demonstrate strong computer skills in Excel, Word, Outlook, and PowerPoint
  • Self-motivated, proactive, and must be a strong team player
  • High School Diploma or GED
